SMART UMIS AUTOMATED STUDENT DATA ENTRY APP

Abstract


The rapid shift toward digitalization has encouraged educational institutions to modernize their operations and improve user interaction [2,3]. This paper introduces the design and development of a Smart Unified Management and Information System (Smart UMIS) that integrates automated entry authentication with an intelligent virtual assistant for campus use [5,10]. The entry system employs QR code–based scanning to verify the identities of students and staff swiftly, ensuring secure, real-time data validation and efficient record handling [6,9]. This automation minimizes manual errors, speeds up access control, and strengthens campus security [15].

In addition, the virtual assistant functions as a conversational interface that delivers instant responses to inquiries related to campus activities, schedules, administrative processes, and student services [8,13]. Its connection with the management database ensures that the responses are accurate, updated, and contextually relevant, thereby reducing the workload of administrative departments [11]. By merging these functionalities, Smart UMIS establishes a unified, user-friendly ecosystem that promotes efficiency, seamless communication, and enhanced campus experience [4,7]. Ultimately, the system supports institutional objectives by providing smarter infrastructure management, improved service delivery, and a secure digital environment [9,12].
